Vendor Account Terminology and Definitions

Term 

Definition 

Enrollment 

The process of creating a profile, submitting documents and achieving compliance status 

Compliant vendor 

A vendor who has completed all the compliance steps and is approved to work 

Certificate of Insurance (COI)

A document that verifies that the vendor has the required insurance coverage(s) 

Account Status 

Indicates whether the vendor’s account is active, inactive, pending or compliant 

Subscription Payment 

An annual fee required by the vendor to access the portal and maintain your account 

Compliance 

Adherence to requirements like required insurance coverages, background check, verified W9 and other documentation 

In Review 

A document status indicating that evolution is in progress 

Email Verification 

A security process that confirms a vendor’s email address before they can proceed with their enrollment 

Pending Documentation 

Documents that are required for compliance but have not been submitted or approved 

Approved Documentation 

Documents that have been reviewed and deemed compliant with requirements 

Rejected Documentation 

Documents that need corrections or additional details before being approved 

Rejected COI 

A COI submission that fails to meet requirements, often due to incorrect policy limits or missing information 

W-9 Form 

A tax document that certifies a vendor’s taxpayer identification number and legal business name 

Insurance Coverage 

The amount and type of protection provided buy a vendor’s insurance policy 

Liability Limits 

The maximum amount the insurance provider will pay for covered claims, as required by property managers 

Enrollment Tracker 

A visual indicator displaying the status each step in the compliance process 

Additional Insured 

A party (e.g property management company) added to the vendor’s insurance policy as covered under the same terms as the vendor 

Waiver of Subrogation 

A clause in the insurance policy that prevents the insurer from seeking compensation from the additional insured for claims paid 

Property Management 

The entity managing the property that require vendor services
